Your future team

In this role, you will be supporting our Co-Founders Johannes and Michael (CEO and CTO) to ensure that all administrative and organizational tasks run smoothly. You will be a core member of the founders office team and have an impact on all of our departments, acting as a cultural ambassador and driving the happiness of more than 600 employees across more than 24 offices. If desired, this role can be part-time (32 hours).

Your role in this journey

  • Support the co-founders with administrative and organizational tasks, e.g. calendar management and scheduling, travel bookings, expenses management and long-term planning.

  • Support the co-founders in managing their calendar in a way that allows them to spend the time on the most meaningful tasks and projects for the company. 

  • Ensure meetings fulfill their purpose and be responsible for the preparation of meeting agendas.

  • Produce quality presentation slides for both internal and external occasions, e.g. in preparation for internal meetings or external presentations. 

  • Manage the communication and correspondence with internal and external stakeholders.

  • Make sure that discussions and tasks are followed up and deadlines are kept.

  • Prepare team offsite events.

  • Support the office management team in organizing all company events such as our annual Christmas evenings and Summer Parties and Get togethers.

  • Support and own the process of gathering information for monthly and quarterly business and performance reviews and weekly performance updates. 

  • Keep our employees happy by coming up with creative ideas on acknowledging accomplishments. 

  • Proactively help our founders to stay on track and on top of their responsibilities while making sure that their work-life balance is maintained (e.g. managing their calendar effectively to ensure proper lunch breaks, etc).

Your backpack is filled with

  • Profound work experience in a high-caliber assistant role, project management or similar.

  • Excellent communication skills in English (B2 level) and in German (B2 level) as well as the confidence to communicate with all levels of the hierarchy.

  • High level of service orientation and a strong motivation to help people. You profoundly enjoy the assistant role. You like to get things done and you are diligent in managing to dos and following up. You bring a flexible mindset and a positive attitude to act in a dynamic environment. 

  • Strong administrative and organizational skills, as well as the ability to maintain a realistic balance among multiple priorities. 

  • The ability to take initiative, understand deadlines and carry multiple projects at the same time.

  • High level of discretion and confidentiality.

  • Expertise in Google Workspace (Docs, Sheets, Slides, and Meets) or Microsoft Office.

  • As a plus: experience in organizing Events (team events & larger events).
